POSITION SUMMARY:

An Administrative Specialist is responsible for providing excellent client service, managing the front desk, and performing a variety of administrative duties including but not limited to client communications and deliverables, invoicing and billing, and maintaining client and workload databases.

ESSENTIAL JOB FUNCTIONS:

  • Manage front desk by answering phones, greeting guests, organizing mail, and completing other daily tasks
  • Prepare and review client billing and invoices including generation of fee agreements
  • Produce and distribute client correspondence such as letters, memos, and email newsletters
  • Assemble and deliver client tax returns and other forms
  • Update executive calendars, schedule meetings, and coordinate firm events
  • Maintain office inventory and equipment by ordering supplies and making service and maintenance calls
  • Perform clerical duties such as filing, copying, scanning, and faxing
  • Collaborate with teammates via cross-training, workload support, and idea sharing
  • Assist staff and leaders with other various tasks and special projects as needed

SKILLS REQUIRED:

  • Solid written and verbal communication skills and phone etiquette
  • Excellent customer service skills including patience and attentiveness
  • Adept at problem solving and use of conflict resolution even in high pressure situations
  • Great organization, planning, and decision-making skills
  • Excels in multi-tasking and time-management
  • High standard of accuracy and attention to details
  • Ability to navigate and prioritize a diverse and heavy workload
  • Works well under pressure of deadlines

EDUCATION AND EXPERIENCE:

  • Associate’s or bachelor’s degree, or equivalent work experience in related field
  • 2+ years administrative professional experience required
  • Proficient in Microsoft Office suite
  • Advanced computer skills and ability to learn new software
  • Experience in a CPA firm or similar professional environment preferred

POSITION SUMMARY:

The Senior Accountant role has a strong focus on developing advanced technical skills and utilization of professional judgement and critical thinking, which allows individuals in this position to complete a wide assortment of advanced client work. Additionally, Seniors review work completed by Staff Accountants and Paraprofessionals, assist with staff training and workload management, and assume greater client management responsibilities.

ESSENTIAL JOB FUNCTIONS:

  • Preparation of complex tax returns
  • Initial review of tax returns; easy to intermediate complexity
  • Preparation of year-end and general tax planning, including complex multi-year scenarios
  • Complete initial reviews for accounting services such as bookkeeping, payroll, sales tax, etc.
  • Prepare financial reports such as compilations, reviews, and other assurance services
  • Anaylyze and interpret client data to diagnose opportunities and present solutions
  • Perform advanced financial analysis, including financial forecasts and cash flow analysis
  • Establish working relationships with assigned clients and oversee clients’ services and projects

SKILLS REQUIRED:

  • Very strong knowledge of QuickBooks software, both desktop and QBO
  • Advanced proficiency with Microsoft Office, particularly Excel
  • Advanced proficiency with tax preparation and workload management software, preferably CCH Axcess or similar
  • Solid communication skills for effectively working with clients and colleagues
  • Ability to produce high quality work with exceptional attention to detail
  • Aptitude for leadership and thrives in a collaborative environment

EDUCATION AND EXPERIENCE:

  • Bachelor’s degree in Accounting or equivalent
  • 3+ years of experience in public accounting and/or tax preparation
  • Active CPA license or actively working towards certification
